Addressing Invoices Stuck in "Hold PO" Due to Price Variance and Streamlining Future Processing
If you frequently get invoices stuck in "Hold PO" status for the reason "Price Variance," it means the price on the invoice doesn’t match the price on the Purchase Order. Here’s what you can do to push the invoice through for payment, and how to adjust the tolerance settings to reduce the number of invoices that get caught in this hold in the future.
Option 1: Override the Hold
You can manually push invoices through by using the "Override Hold" button. This option is ideal for resolving individual instances quickly.
- Note: If you don’t see the "Override Hold" button, you may need additional permissions. Contact our Support team to request access.
Option 2: Adjust Price Variance Tolerances
To minimize manual intervention for future invoices with marginal price differences, you can adjust the tolerance for price variation. Follow these steps:
-
Go to Setup > Site Configuration > Configure Rules.
-
From the drop-down menu, select PO Import Matching Process.
-
Scroll to the Price Variance section and click Configure.
-
Adjust the tolerance levels under Over Variance to allow slight deviations in price.
-
-
For example, if the current unit price difference is $0.06, set the tolerance to a value higher than $0.06 to prevent similar invoices from being held in the future.
-
-
Tip: Ensure the tolerance settings align with your company’s pricing policies and operational needs.
By using either of these methods, you can resolve current issues and optimize your workflow for handling future invoices efficiently.
