How do I modify the Buyers/Shipto/Requestors table?

The Buyers table lets you link your information coming from the ERP and linking it to Nimbello user accounts.

To start, the ability to change this table is generally limited to AP Admins and Super Users.

Navigate to the top ribbon and hover over Set up in the dropdown then you want to select Client Info.

 

Once there, the first tab is the Buyers table. 

The Buyer table is used for assigning the Buyer ID from the Purchase Order file to a user within the Nimbello workflow. 

In addition to connecting the Buyer ID to a user, this table is also used to connect the Ship To or Warehouse ID from the PO to a user as well as the Requester. 

The Buyer table has 3 field headings. These three columns are where the Buyer, Requester and Warehouse information will be setup and connected to a user within the Easy Access Workflow. If the ID that comes in the PO File is not setup in this table, then the invoice cannot be routed to the user.

 

BuyerID: This is the field in which your ERP's Buyer OR Requester ID will be filled in. If you are using both Buyers and Requester's then this field heading may be updated to say Buyer\Requester ID. 

Warehouse Code(ShipTo): This would be the Ship To or Warehouse Code that comes in from the PO file. If you use the function of directing Receiving issues to a receiving department automatically, then you will assign an appropriate user to the appropriate Warehouse Code.

Direct Invoice To: This is where you will use a drop down to choose a user to whom that code will be directed to.

 

For consistency, the Warehouse code must always be filled in. If this is not a Directed To setup for a Warehouse simply put the Buyer\Requester ID in both the Buyer and Warehouse ID field. 

If you are entering a Warehouse Code(ShipTo) enter it into both the Buyer and Warehouse fields.

Note that a single Directed To user may be assigned to multiple Buyer or Warehouse ID's. This is ok. As staffing changes, somebody needs to monitor and handle the previous person's work. 

There cannot however be the same Buyer\Warehouse ID associated with 2 different users. In that case, there is no way for the workflow to know to which any given invoice can be directed.

Once you have entered the information save it by clicking "Update" The routings will then update either when a new masterfile comes in or the workflow triggers.
